Information you provide

When you submit an enquiry, Hot Desk receives the information entered in the form so we can assess and respond to it. Please do not submit confidential, sensitive or security-classified information through the website.

Form processing

The public website is hosted on Netlify and uses Netlify Forms to receive enquiries. Enquiry notifications are intended for info@hotdesk.co.nz, a Hot Desk shared mailbox. Information may also be processed by service providers involved in hosting and email delivery.

Optional website analytics and cookies

Hot Desk uses Google Analytics 4 through Google Tag Manager and Microsoft Clarity to understand how the website is used and where it can be improved. The tags load in advanced consent mode with analytics storage denied. Until you select Allow, the providers receive limited cookieless measurement and do not set optional analytics cookies. Selecting Skip or leaving the notice unanswered keeps that cookieless state. Necessary website features work without optional analytics cookies.

Limited cookieless measurement may include the page address and title, referring page, timestamp, browser and device information, consent state, approximate location derived from the connection used to access the site and a random value generated for a page view. It does not use Hot Desk's first-party Google Analytics or Clarity cookies to recognise the browser across visits.

If you select Allow, Google Analytics can use a random client identifier in first-party _ga cookies and receive fuller page, interaction and session information. Read Google's description of Analytics data collection.

With permission, Microsoft Clarity can use first-party identifiers and fuller information about page addresses, navigation, clicks, scrolling, pointer movement, device and browser details, approximate location and page structure to provide heatmaps and reconstructed session recordings. Contact forms and the IRM self-check are explicitly masked, including their fields, answers and results.

When optional analytics is allowed, Google Analytics can also record bounded interaction events such as a booking, email, phone or product link click. Those events do not contain form-field contents, destination contact details or enquiry messages.

Analytics purpose and controls

The first-visit notice provides Allow, Skip and Manage choices. Allowing optional analytics grants analytics storage. Skipping, or not responding, leaves analytics storage denied while limited cookieless measurement continues. Use the Analytics settings link in the footer to review or change the choice for your browser.

Turning optional analytics off stores that preference, sends denied consent to the providers and removes accessible first-party Google Analytics and Clarity cookies. A supported Global Privacy Control or Do Not Track browser signal prevents both cookie-based and cookieless analytics from loading.

Advertising storage, advertising user data and advertising personalisation remain denied in every state. Google Signals and advertising-personalisation signals are disabled, and Clarity is not permitted to share data with Microsoft Ads.

Analytics providers, location and retention

Google and Microsoft process analytics information on Hot Desk's behalf, and the information may be processed outside New Zealand. Read how Google uses information from sites that use its services and the Microsoft Privacy Statement.

The Hot Desk Google Analytics property is configured to retain event data associated with cookies for 2 months and user data for 14 months. Microsoft states that Clarity playback data is normally retained for 30 days and that selected recordings and aggregated heatmap data may be retained for up to 9 months.

How enquiry information is used

We use enquiry information to respond, understand the requested service, arrange a discussion and maintain an appropriate business record. We do not use the enquiry form to collect attachments in this release.
